Designing academic system for Cakrawala University growth & cost efficiency
Cakrawala University
Cakrawala University is a new university in Indonesia that focuses on creating future ready graduates. They use modern learning methods that combine technology, entrepreneurship, and practical skills to help students succeed in today’s fast changing world.
Flexibility System
Cakrawala University needed an academic system to handle everything from admissions to billing and academic management. But the system they had (SEVIMA) was too general, built for many universities, and didn’t fit their unique needs and also they have to pay the rent for the paltform.
We faced some big problems:
Not Flexible: The system couldn’t be customized for Cakrawala University’s needs.
Complicated User Flow: The admission process was confusing for users.
No Billing Support: The system didn’t include billing, which was important for the university. Actually the system has billing system, but it seperate from the package that Cakrawala University rent for.
Unclear Academic Structure: Academic features weren’t well organized, making them hard to use.
BRAINSTORMING
We started with a meeting involving the tech team and university representatives to identify the weaknesses in the existing Sevima system. This session helped us understand user pain points, missing features, and specific needs of Cakrawala University that the old system failed to address.
Task Assignment via Jira
After defining the key requirements, the Project Manager used Jira to assign tickets to each member of the tech team. This ensured everyone had a clear understanding of their responsibilities and deadlines.
Design Input & Preparation
As the UI/UX designer, I received a FigJam file by Project Manager containing the sitemap and user flow for the proposed new system. This gave me a strong starting point for understanding the entire flow before diving into the design phase.
Hi-Fidelity Design Creation
Because the project had a very tight timeline, we skipped the wireframing stage and went straight to creating high-fidelity designs for new student admission system, billing system, academic system . This approach saved time while still ensuring we delivered polished and realistic visuals for review.
Prototype
Once the high fidelity screens were ready, I built an interactive prototype to demonstrate the user flow and interactions. This prototype became a key tool for communicating the design vision to both the tech team and stakeholders.
Usability Testing with Students and Admins
We ran usability testing sessions using the interactive prototype with real users: students and Cakrawala University admins. To measure the design’s effectiveness, we used Single Ease Question (SEQ) for qualitative insights and System Usability Scale (SUS) for quantitative data, giving us a balanced view of user satisfaction.
Research Plan For Iteration
Based on the feedback and test results, we created a research plan to guide future design improvements. This ensured the next iterations would directly address user concerns and improve overall usability.
CAKRAWALA UNIVERSITY NEW ACADEMIC SYSTEM
We designed a new system tailored to Cakrawala University’s unique needs. It includes a streamlined new student admission system, an integrated billing system, and a modernized academic management system, ensuring all processes run efficiently and are easy for both students and administrators to use.
